Emergency Procedure Information

The school has set up the following emergency procedures and evacuation plans to be followed in case of a major earthquake, fire or serious bomb threat. Please take the time to read this information carefully! Your knowledge of and cooperation with all these points are essential to the smooth evacuation of our children in case of an emergency.

IN CASE OF A MAJOR EARTHQUAKE:

• During an emergency, do not come to School right away: Please note that we will not be able to let parents onto campus or dismiss any children during the initial part of our emergency procedures. If we decide to evacuate the campus (part B), we will communicate it to the community and run our protocols. If you choose to excuse your son or daughter from School, please note it will not be possible until after we have either completed our Emergency procedures OR made the decision to dismiss students from campus. If you are on campus already (as parents often are), we will ask you to follow our procedures in order for full safety reasons

• Please wait for official communication from the School: Some events occur in which the whole community knows; other events will be specific to CDS and not be known to the outside. In any case, we will communicate using CDS Director Email, our CDS website and CDS page on Facebook. If internet is down, we will use our phone trees. In case of both being down, we will use Radio Monumental (93.5 on the FM dial or 670 on the AM dial) to communicate information. Calling the School within the first hour of an emergency is counter-productive to our ability to communicate with necessary authorities/organizations. Please refrain from calling the school until after we have communicated through above emergency protocols.

• If we decide to evacuate the campus, we will run our pick-ups lines through the main parking lot. When we decide to evacuate the campus, we gather as a whole school community on the East side of the campus (where elementary and high school are located) on either the Quad, lower fields or gymnasium. Of course, we take into account the particular emergency, but this is where you should plan on picking up your children. We group students by family surname and dismiss through the main gate and main parking lot. All other gates will be closed. Some waiting will be unavoidable, but if everyone remains calm and follows the above program, children and parents will be reunited in the most efficient manner possible. Staff members will remain at the school until every child has been picked up.

• Stay calm during the emergency and keep in touch afterwards. Working with children every day, we know that our actions and demeanor in these situations are watched carefully by our children.If we panic, they see it as the norm. Reassure your children and listen to what they are talking about post emergency. If your children are upset by the earthquake, allow them to talk or encourage them to express themselves in other ways, e.g., by writing or drawing about their feelings. Please let us know as well; we have counselors available to talk to children who have been focused on the event. While classroom teachers discussed and debriefed it immediately in classes, there are always residual feelings and thoughts.

IN CASE OF A MAJOR FIRE OR BOMB THREAT:

• Parents will be notified of evacuation by means of phone chains or electronically (email, social media, website). In such an emergency, school officials will call one of several persons to be designated, who will then activate the chains by calling a parent representative from each class. Each representative will call the first person on his class phone list. That person will call the next person on the list, and so on, until every household has been reached. In case the next person on one's list does not answer, one must continue to call names in order down the class list until another parent is reached. That person then continues the chain. Under no circumstances should the chain be allowed to lapse unless every name down the list has been tried.
  
  If a maid or domestic answers leave a message concerning the nature of the emergency, but do not expect that person to continue the chain. Please continue calling those on your list until you reach a parent or guardian who is capable of passing on the message efficiently.
  
  When you receive a call on the phone chain, WRITE DOWN the message exactly as it is given so that you can pass it on correctly. Avoid asking questions. This will only slow the process of passing important information to all the parents on the list.

• In case of fire or bomb threat the same evacuation route will be followed as for earthquake (see map). Depending on where the fire or bomb is located, the children may be in different location, within the school grounds rather than in the parking lot. However, the procedure of grouping children alphabetically will still be followed. The quickest way to find your child (ren) will be to stay in your car and give your name to the teachers in charge, who will bring your child (ren) to you.

EMERGENCY CONSENT FORM

All parents must fill out The Emergency Consent Form. Please enter the names of any person(s) whom you would trust to pick up your child (ren) in case of an emergency. The designated alternates will be allowed to pick up your child (ren) only if they properly identify themselves to the teacher in charge.

AMBULANCE SERVICE

All Country Day School students and staff are covered by the ambulance service Emergencias Medicas while on the school campus and on school field trips.

COMMUNICATION AND DRILLS

One of the most important aspects of emergency preparedness is to talk to your child (ren) beforehand about what to expect should an emergency occur. Reassure them that they are doing their part by remaining at the school following the instructions of the teachers, and that you or one of your designated alternates will pick them up as soon as possible. Tell them who your designated alternates are. Children who are prepared and know what to expect will meet the challenges of any emergency situation with far more assurance than those who have to deal with the fear of uncertainty.

Remember the following:

• Prepare your children in advance.
• Drive the evacuation route soon so that you will be familiar with it if an emergency occurs.
• In case of emergency, listen to the radio or advance the phone chain according to instructions above.
• Follow evacuation instructions.
• Remain calm.

The Emergency Plan depends on each person's cooperation in following the instructions above. The school has prepared the children and will be running drills so that they will know exactly what to do to keep themselves safe in case of emergency. First aid equipment is on hand. Teacher and staff teams are organized to respond to crises with specifically designated responsibilities.

Informacion para el procedimiento en caso de emergencia

El colegio ha establecido el siguiente procedimiento y plan de evacuacion en caso de emergencia de un temblor fuerte o terremoto, incendio o amenaza seria de bomba. Por favor, lea detalladamente esta informacion! Su cooperacion y conocimiento del mismo es esencial para la evacuacion correcta de su(s) hijo(s) en caso de una emergencia.

EN CASO DE UN TEMBLOR FUERTE O TERREMOTO:

• scuche Radio Monumental (93.5 en FM o 670 en AM) o mire Canal 7 para la informacion, en ambos idiomas Ingles y Espanol, si los procedimientos de evacuacion se han iniciado. El colegio ha hecho los arreglos necesarios con estas emisoras y se comunicara con ellos, les dara los numeros de telefono funcionando para que anuncien la informacion de emergencia. POR FAVOR NO LLAME AL COLEGIO. Esto ocasionaria un congestionamiento de lineas y haria imposible que hicieramos las llamadas de importancia para la seguridad de su (s) hijo (s). Si los telefonos no funcionan, la escuela no podria comunicarse con los medios de prensa. En ese caso usted debe tomar su propia decision si quiere ir a la escuela.
• Si la evacuacion se considera necesaria, los padres deben recoger a su (s) hijo (s) ya que el transporte de autobuses no esta disponible durante el dia. Para evitar el congestionamiento, la ruta al colegio tendra solo una via. Por favor obedezca las instrucciones dadas por el personal del colegio que este dirigiendo el transito para que la evacuacion fluya facilmente.
  
  A los estudiantes se les agrupara en orden alfabetico (por apellido) en el area del parqueo (frente a la entrada principal), este se cerrara para el trafico de vehiculos. Los ninos con apellidos de la A a la G se agruparan cerca del porton, frente a las aulas de segundo y tercer grados. Apellidos de la H a la Q estaran ubicados frente al porton peatonal. Apellidos que comienzan con R y hasta la Z estaran en la parte de arriba del parqueo. En el parabrisas de su carro debe poner un rotulo grande, que pueda observarse a la distancia y que tenga la inicial del apellido de su hijo (s). Esto ayudara para que los profesores tengan a su hijo(s) esperando cuando usted llegue al porton respectivo. Espere en la calle frente al porton correcto y de el/los nombre(s) de su(s) hijo(s). Tener que esperar sera inevitable, pero si permanece en calma y sigue las indicaciones anteriores, estudiantes y padres de familia se podran reunir de la manera mas eficiente posible. El personal estara en el colegio hasta que todos los estudiantes hayan sido recogidos.

EN CASO DE INCENDIO O AMENAZA DE BOMBA:

• A los padres de familia se les comunicara a traves de una cadena de llamadas telefonicas y si es posible, se enviara un mensaje por correo electronico. En este caso, los encargados en la escuela llamaran a una de varias personas designadas, quien comenzara con la cadena, llamando a los padres representantes de cada clase. Cada representante llamara a la primera persona en la lista, esta seguira con la proxima y asi sucesivamente hasta que todos hayan sido informados. Si hay alguna persona en la lista que no se puede ubicar, se debe continuar con el siguiente nombre, hasta comunicarse con alguna persona. Asi debe continuar la cadena y no interrumpirla bajo ninguna circunstancia hasta terminar.
• Si se presenta el caso de que la llamada telefonica es contestada por una servidora domestica, se debe dejar mensaje y hacer hincapie de la emergencia, pero no se debe esperar que esa persona continue con la cadena. Por favor siga llamando al siguiente de la lista hasta que pueda comunicarse con el padre o guardian, persona responsible de seguir con el mensaje de forma eficiente.
  
  Cuando reciba la llamada en cadena, ESCRIBA exactamente el mensaje tal y como se le ha dado para que lo pueda repetir igual. No haga preguntas. Esto haria que la informacion, que es importante, se atrase en llegar a todos.
• En el caso de incendio o amenaza de bomba, la ruta de evacuacion sera la misma que para temblor o terremoto (ver el mapa). La ubicacion de los estudiantes puede cambiar del parqueo a los jardines, dependiendo de donde el incendio o bomba este localizado. Sin embargo, el procedimiento de agruparlos por orden alfabetico sera el mismo. La manera mas rapida para encontrar a su hijo (s) es darle el nombre al profesor(a) encargado(a) y mantenerse en el carro, el/ella se lo(s) ubicara(n).

FORMULARIO DE CONSENTIMIENTO DE EMERGENCIA

Todos los padres deben llenar este formulario. Por favor de el/los nombre(s) en quienes usted(es) confian para recoger a su hijo(s) en caso de emergencia. El profesor(a) encargado solo entregara a su(s) hijo(s), previa identificacion de la persona asignada.

SERVICIO DE AMBULANCIA

Todos los estudiantes y empleados del Country Day School están cubiertos por el servicio de ambulancia de Emergencias Medicas en la escuela y en paseos escolares.

COMUNICACION E INSTRUCCION

En la preparacion para emergencias, uno de los puntos primordiales es la comunicacion anticipada a su hijo(s), de lo que se espera si una emergencia ocurre. Hagales hincapie en que ellos son parte del proceso al permanecer en la escuela siguiendo las instrucciones de los profesores y de que usted, o la persona asignada, lo recogera tan pronto le sea posible. Comuniqueles quienes son las personas asignadas por ustedes como responsables para esto. Los estudiantes que estan informados y saben que esperar, pueden asumir el reto de una situacion de emergencia con mayor seguridad que aquellos que deben ennfrentarse con el miedo de la inseguridad.

Recuerde lo siguiente:

• Prepare a su(s) hijo(s) con anticipacion.
• Haga el recorrido de la ruta de evacuacion para que se familiarice con ella en caso de emergencia.
• En caso de emergencia, escuche el radio o promueva la cadena de llamadas telefonicas de acuerdo a las instrucciones anteriores.
• Siga las instrucciones de evacuacion.
• Mantenga la calma.

El Plan de Emergencia depende de la cooperacion de cada persona para seguir las instrucciones anteriores. El colegio ha preparado a los estudiantes y tendra sus practicas de evacuacion para que ellos sepan exactamente que hacer para mantenerse a salvo en caso de emergencia. El equipo de primeros auxilios lo tenemos a mano. Los profesores y todo el personal estan organizados y con responsabilidades especificas para hacerle frente a estas situaciones de crisis.
