Early Childhood Office Assistant Job Description
 
  • Be fully bilingual in English and Spanish
  • Maintain a positive and cheerful disposition at all times.
  • Be kind and receptive in greeting  to all persons entering EC office.
  • Answer and take messages from phone calls for administrators and support staff.
  • Assist all the grade teachers and the teachers of specials with their requests: type or/and print something, for special occasions, etc.
  • Assist students with special requests, as for example, when they forgot to bring lunch, or forgot permission slips, etc.
  • Fill Early Childhood teachers’ supply requests.  Supplies should be requested by Thursdays for the next week, and be ready for the teachers by the end of Friday afternoon.
  • For Early Childhood complete teacher's’ absence forms and send to Human Resources.
  • Secure  substitute teachers for Early Childhood when necessary (this may involve after hours work)
  • Keep monthly staff (teacher & assistants)  attendance records
  • Keep Early Childhood attendance figures daily and prepare the figures for teachers at the end of each quarter, or when a child is leaving during the year.
  • Keep the office supply room organized and inventory up to date.
  • Keep track of supplies in large bodega and request supplies as needed.  Keep inventories updated.
  • Make birthday lists every month for the news board.  
  • Make photocopies for Early Childhood teachers as needed (10 maximum per person).
  • Take messages for Miss Brisson and Early Childhood staff.  Place messages in teachers’ mailboxes. Immediately deliver messages to teachers, assistants, and children when necessary.
  • Telephone or message  parents when an after school activity is cancelled.
  • File on a regular basis for Miss Brisson.
  • Help coordinate and assist Miss Brisson and teachers with special events (U.N. Day, Christmas program, end-of-year outings, etc.)
  • Inform Miss Brisson of important or delicate issues.
  • Inform security of Early Childhood events on campus.
  • Fill out the Student Release Forms when students are leaving school early
  • Input, receive, check, sort, and distribute the ISS and local orders (once a year.)
  • Prepare the emergency folders and keep up to date throughout school year
  • Prepare and sent out announcements, reminders, etc. to teachers and parents.
  • Prepare Early Childhood students’ folders at the beginning of the year, throughout the year as needed, and at the end of the year; Prepare the folders for all new students.
  • Prepare teacher mailboxes at the beginning of the year and keep up to date
  • Print class lists for teachers and parents (when they request it).
  • Schedule appointments for Miss Brisson with parents, teachers, and others.
  • Update Miss Brisson’ agenda/calendar.
  • Keep the bulletin boards decorated
  • Receive, sort, and distribute the ISS and local order (once a year.)
  • At the beginning of August place the order for the decorations for Independence Day
  • In mid-November place the order for the Christmas decorations.
  • In October place the order for the next year’s calendars.
  • Make, keep updated, and on hand a file for the classes and specials
  • Keep the Forms folder updated and the forms alphabetically sorted
  • Assist in After School Activities program
